How It Works: Organizing Your Private Trip

Organizing a private chartered trip requires one designated trip organizer who will work directly with our office to arrange all the details. Here's how the process works:

  • Select Your Trip:

Choose a date from our current motorized expedition schedule. The date and number of rafts you wish to reserve should be finalized early, as availability is limited.

  • Determine Your Group

You can book one raft for up to 14 guests, or up to two rafts for 15-28 guests. The flexibility allows you to tailor the group size to your preferences.

  • Deposit and Payment

The deposit and payment structure is outlined for both 2025 and 2026 trips, with the following payment breakdown:

    • Deposit: Paid at the time of reservation
    • First payment: Due by January 15 of the respective year
    • Final payment: Due 120 days prior to the trip departure
  • Responsibilities of the Trip Organizer:

The trip organizer will handle the following tasks:

    • Provide each trip member with detailed information, including the Grand Canyon Expeditions brochure and any required forms.
    • Submit a list of trip members, including birth dates, addresses, email addresses, and medical/dietary restrictions, no later than 90 days prior to departure.
    • Ensure all acknowledgment-of-risk forms are signed and returned.
    • Handle deposits and payments on behalf of the group. All payments should be made by a single check or credit card.
  • Cancellations and Refunds:

    • A deposit of $1,000.00 (for one raft) or $2,000.00 (for two rafts) is required at the time of reservation. The remaining balance is due in two payments: 50% by January 15, and the final balance 120 days prior to departure.
    • Refunds are available for cancellations made more than 120 days before departure, with a $500 cancellation fee. Cancellations made within 120 days are non-refundable.
